We work hard to deliver the camp as advertised. Information published about the camp is provided in good faith and may occasionally change as teachers, musicians, venues or circumstances change.
The organisers reserve the right to alter, postpone or cancel any aspect of the camp where circumstances beyond our control make this necessary, including but not limited to illness, severe weather, venue issues, safety concerns or other unforeseen events.
If the camp is cancelled by the organisers, fees paid will be refunded. The organisers are not responsible for any additional costs participants may incur, including travel, accommodation or other personal arrangements.
-
We aim to provide a welcoming and inclusive camp experience for participants of all ages and experience levels.
Participants are expected to treat fellow attendees, teachers, musicians, volunteers, staff and venue personnel with courtesy and respect.
Parents and guardians remain responsible for the supervision and wellbeing of participants under 18 years of age unless otherwise advised by the organisers.
Participants are responsible for ensuring they are fit and able to participate in camp activities. This includes not participating in activities when affected by illness, injury, alcohol or other substances that may impair their ability to do so safely.
The organisers will take reasonable care in the planning and operation of the camp but cannot accept responsibility for injury, loss or damage except where required by law.
Please advise the organisers of any relevant medical conditions, allergies or support requirements that may assist us in providing a safe and enjoyable camp experience.
Any concerns during camp should be raised with the organisers as soon as practicable.
-
If a participant becomes ill or injured and an emergency contact cannot be reached, the organisers may arrange appropriate medical treatment, ambulance attendance or hospital care as required. Any associated costs remain the responsibility of the participant or their parent or guardian.
Participants who are knowingly unwell with a contagious illness are asked not to attend camp until it is safe to do so.
Alcohol may only be consumed by persons aged 18 years or over and only in designated areas.
Smoking, vaping and e-cigarettes are permitted only in designated smoking areas and only by persons aged 18 years or over.
The possession or use of illicit substances is prohibited and may be referred to the appropriate authorities.
-
Participants are asked to treat accommodation, rehearsal spaces and shared facilities with care and respect. Please keep noise to a minimum in dormitory areas during sleeping hours and be considerate of other participants.
Participants are responsible for any loss or damage they cause to camp facilities, accommodation, equipment or property and may be required to reimburse the full cost of repair or replacement.
-
In rare circumstances, the organisers may ask a participant to leave the camp if their behaviour presents a risk to themselves, other participants, volunteers, staff or the safe operation of the event.
A participant asked to leave the camp will generally not be entitled to a refund.
-
Photographs, audio recordings and video footage may be taken during the camp and may be used by the organisers for promotional, educational and community purposes.
Participants who have concerns regarding the use of their image are encouraged to discuss this with the organisers before or during the camp.
-
Participants are responsible for their own personal belongings, including musical instruments, equipment, electronic devices, clothing and valuables.
The organisers do not accept responsibility for loss, theft or damage to personal property.
-
Registration information will be used only for the administration and safe operation of the camp and will be treated confidentially.

Transylvanian West Fest is organised and delivered entirely by volunteers who generously contribute their time, skills and energy to support Hungarian folk music, dance and culture in Australia.
We thank all participants for helping create a positive, welcoming and respectful community experience for everyone.
